College Policies

  • Student Number and Badge

    1- Student number is assigned to each student which would identify him in the Student Information System and being used in all student affairs and academic transactions at the College of Applied Medical Sciences.

    • A. The first two digits from (the left) are assigned for the academic year of admission in Hijri Calendar. For example, admission students of the academic year 1436-1437 will have the student number that starts with 36.
    • B. The 3rdand 4th digits are consecutively related to Stream, Gender & Campus. For example, student number with 1-1-1 means (1) stream one, (1) gender=male and (1) campus Riyadh.
    • C. The last four digits are serial number starting from 0001.
    • D. The student number will be like this as an example: 36-1-1-1-0001.

    2- All students are required to put on their badges and be clearly visible at all time while they are in the university, National Guard hospital and its premises.

    3- In case of loss or expired, students are advised to report it immediately to Student Affairs Department.

    4- The cost of replacement will be shouldered by the students. If a student badge is found, please return it to Student Affairs Department.

    Penalties:

    • A. Students without their badges will not be rendered services in Student Affairs Department.
    • B. For the 1st time, a verbal warning will be established.
    • C. For the 2nd time, a written warning letter will be issued.
    • D. If the student hasn’t put on his badge after that, he will be marked absent for the whole day.
    • E. If the student hasn’t complied yet, he will be marked absent again for the whole day until such action has been resolved or compliance is achieved.

     

  • Uniform Policy

    For male students, they will be provided with the following uniforms a week before the start of the academic year:

    1. A. Two pieces blue scrub suits or green (depends on the student’s program).
    2. B. Two white lab coats.
      • All students are required to wear the assigned uniforms(Lab coat & Scrub suit) while attending their classes in (KSAU-HS or NGHA)
      • All students are required to have a proper haircut,, with a hair length at the back that is not touching the collar of the lab coat while the front hair length should not go beyond the eyebrows, hence making the forehead visible. Hair length should be equal.
      • The allowed scrub suit colors to be worn are (light blue, navy blue or green).
      • Wearing a scrub suit with different colors than the above mentioned ones is a violation and will be subjected to the penalties listed below.

    For female students, they should adhere to the Dress Code Policy as stated in the College of Nursing Administrative Policy and Procedure. (CON-APP-018 )

    Penalties:

    • A. 1st offense: verbal warning.
    • B. nd offense: written warning letter.
    • C. 3rd offense: will be marked absent for the whole day (not applicable during Mid-term/Final Examinations, PBL, OSPE or OSCE.)
    • D. If a certain student didn’t comply even after the 3rd offense, he will be marked absent again for the whole day until such action has been resolved or compliance is achieved.

    Note: on the last day of the weekdays (Thursday) , students can wear casual clothes BUT NOT if they have a practical sessions or a class at NGHA. Also, if they are participating in workshops or activities done by the college, student affairs or student club.

    • A. Lab coat should be worn in practical sessions inside the labs and in going to the hospital.

      B. Jeans and inappropriate clothes are not allowed all the time.

  • Attendance

    1-  Attendance is expected to be 100%.

    2- Student’s absences should not exceed 25% in each block or subject. When the student’s absences reach 10% , 15%, 20% or 25% the following action will be implemented:

    • A. An Electronic Notification (Email) will be sent if the student’s absence rate reaches 10%.
    • B. 1st warning letter will be issued when the student’s absence rate reaches 15%.
    • C. 2nd warning letter will be issued when the student’s absence rate reaches 20%.
    • D. 3rd & Final warning letter will be issued when the student’s absence rate reaches 25%.

    3- Students are at a risk of not being permitted to progress to the next stage of the program if his/her attendance percentage
    is below 75 %.

    4- Attendance sheets should be signed by the students before the start of every class. A 10 minute allowance is given after the instructor signature. Any student who arrived after the 10 minute grace period will be marked absent.

    5- The instructor has the right to allow or not allow the student to enter the classroom. However, the student will still be marked absent.

    6- If the instructor is late, the students must not leave without the permission of Student Affairs Department.

    7- Any student who leaves the class without the permission of Student Affairs Office will be subjected to disciplinary action listed as follow:

    • A. 1st offense, student will be marked absent.
    • B. 2nd offense, student will be marked absent and received a warning letter.
    • C. If it happens again, the student will be summoned to the office of Associate Dean for proper arbitration for his/her incident.
    • D. The incident will be kept in the student’s file.

    8- In case a student is found absent but affixed signature to the attendance sheet:

    • A. He/she will be marked absent and receive a warning letter.
    • B. He/she has to report to the Office of Student Affairs for proper arbitration for his/her incident.
    • C. The incident will be kept in the student’s file.

    9- Attendance will be closely monitored and enforced. Any activities that not being organized by the College of Applied Medical Sciences and the students want to participate they need the advance approval of Student Affairs in order to be considered excused.

     

  • General Policies & Their Penalties

      • Use of Electronic Gadget during classes is not allowed.
      • Leaving the classroom to answer or make a call is not allowed.
      • Sleeping inside the classroom while the class is ongoing is not allowed.
      • Eating or drinking inside the skill labs is not allowed.
      • Rescheduling of classes is not allowed without proper approval from Student Affairs Department.

    The penalties for the previous policies are:

    A. Verbal warning letter will be established for the first time offense.

    B. Written warning letter will be issued as the second time offense.

    C. Refer to the Office of Associate Dean.

    • Students with three consecutive week’s absence will have their incident forwarded to the Office of Associate Dean for review and recommendation.
  • Lost & Found

    • Any lost item such as watch, glasses, mobile or wallets should be reclaimed at COAMS student affairs office.
    • In case of lost item please refer to student affair office.
  • Excused Report

      • Absences due to illness and other personal crisis can be considered upon submission of a detailed medical report to the Office of Student Affairs within three {3} academic days upon return. The medical report should generally be from National Guard healthcare facilities. In some cases, detailed medical report from other government hospitals may also be accepted. In the other hand, medical report from private healthcare facilities will not be accepted especially if the student missed PBL sessions, clinical rotations and examinations. 
      • Death certificate will be accepted. Students are allowed for three days in case of death of first degree relatives.
      • In case of car accident, students should provide the police report or the insurance company report.
      • Other incidents will be reviewed by Student Affairs Department.
      • Excuses during Examination, OSPE, OSCE, PBL or grade related activity will be forwarded to the concerned departments for their review and recommendations.
  • Examination Policies

      • In written examinations, students are not allowed to leave the venue in the first 30 minutes of the exam period.
      • Students are not allowed to enter the examination after 30 minutes from the start of the exam.
      • Any student comes late; he/she will not be given any extra time to finish the exam.
      • During OSPE & OSCE students are not allowed to enter the venue when it starts.
      • Only the block coordinator has the authority to decide on whether to allow the student to leave or enter the examinations.
      • Uses of Electronic devices such as mobile phones, iPad, tablet, etc. are not allowed.
      • To avoid improper behavior during examinations, students should refrain from communicating with other students.
      • Any student who is absent in his Mid-term or Final Exam should provide Student Affairs Department with an Excused Letter issued only from King Abdulaziz Medical City, Ministry of National Guard and within three (3)working days.
